Privacy notice for residents

Who runs this service

This service is operated by Alder & Pine Community Ops and used by your community association to run its day-to-day operations: maintenance requests, work scheduling, vendor jobs, documents and board decisions. Your association decides who in your community is given access and in what role.

What we collect about you

  • Your account: your email address and a password. We never see your password in plain text; it is stored as a one-way hash by our sign-in provider. We record when you sign in.
  • Your profile: first and last name, phone number, the unit or building you are linked to, your resident type (for example owner or tenant), how you prefer to be contacted, and any notes your community's administrators record about your residency.
  • Emergency contacts you choose to provide.
  • Requests you submit: the title and description, the location, any photos or files you attach, and the replies exchanged about them.
  • Support issues you file about the service itself.
  • Activity records: a log of actions taken on your requests and your account — who did what, and when. This log exists so that your association can show how a matter was handled.

Who can see it

  • Your community's staff — community administrators and operations leads — can see every request in your community, including ones marked private, and your profile. That is their job.
  • Field operators and vendors assigned to a job see that job: its location, description and photos. They do not see your profile.
  • Board members and oversight roles see requests that are visible to the community and the board's own materials. They do not see requests marked private.
  • Other residents see only what is marked visible to the community. They never see your private requests, your files or your profile.
  • The operator's platform administrators can access all data in order to run, support and repair the service.
  • Service providers: the service runs on hosted database, sign-in and application infrastructure, and uses an email delivery provider to send you invitations and notifications. These providers process data on our behalf to run the service and for no other purpose.

Access is enforced in the database itself, per community and per role, so a person in one community cannot read another community's records.

How long we keep it

Records are kept for as long as your association uses the service and are archived rather than deleted when a matter is closed — your association relies on the archive as its record of what was done. Deletion on request is not yet available. If you ask us to delete or hand back your data, we will record the request and tell you plainly what we can and cannot do today.

Seeing and correcting your information

Once signed in, you can see and change your name, phone number, contact preference and emergency contacts yourself under Resident → Update my profile. Your unit link and your resident type are set by your community administrator; ask them to correct those. You can turn on two-factor sign-in under Settings.
